Simply Unified Fleet
Privacy notice
Last updated 7 November 2026
This notice explains how Simply Unified handles personal information in Simply Unified Fleet (“the app”): the fleet dashboard, Workshop, prestarts, bookings and Insights. We follow the Australian Privacy Principles.
Who decides what is tracked
We provide the app to organisations (“clients”) that use Telematics Guru tracking. The client decides which vehicles, assets and people are tracked and who can log in. If you drive or work for one of our clients, your employer is responsible for telling you about tracking. Please contact them first with questions about how they use the app.
What we collect
- Login details: your name and email, a one-way scrambled copy of your password (we can’t read it), and when you last logged in.
- Vehicle and trip data, copied from the client’s Telematics Guru account: locations, trip start and end points and times, distance, speed, idle time, harsh braking, acceleration and cornering, geofence visits, odometer, engine hours and tracker readings. Where a driver is assigned to a trip, this includes the driver’s name.
- Driver records from Telematics Guru, such as name and licence expiry date.
- Records entered in the app: prestart checks, work orders, bookings, tool and equipment records, fuel card statements the client imports, and photos taken of defects and faults.
- Technical information: one login cookie, and on phones, a copy of recently viewed pages and records so the app works without signal.
How we use it
Only to provide the app to the client, support its users and fix problems. We don’t sell personal information, use it for advertising, or use tracking data to market to you.
Who we share it with
- The client’s own logins, as the client sets them up. A client’s users can only see that client’s data.
- BinaryLane, an Australian-owned company whose Perth data centre houses the server the app and its database run on.
- Digital Matter, which runs Telematics Guru, the source of the tracking data.
- Mapbox, which supplies street map images. It receives only the map area being shown, not names or trips.
We don’t share it with anyone else unless the law requires us to.
Where it is stored
The app and its database run on a server in Perth, Western Australia, and backups are kept in Australia. Mapbox, which supplies the street map images, is overseas, but it receives no personal information.
How we protect it
Every connection is encrypted. Passwords are stored scrambled, logins lock after repeated wrong passwords, and each client’s data is kept separate. Logging out on a phone clears the copies kept for offline use.
How long we keep it
For as long as the client uses the app. Within 90 days after a client stops, we delete its data, unless the client asks for a copy first or the law requires us to keep it.
Cookies
We use one cookie, to keep you logged in. There are no analytics or advertising cookies.
Access, correction and complaints
You can ask to see or correct personal information about you. Because the client controls its data, we may pass your request to them. If you’re unhappy with how we handle your information, contact us and we’ll respond within 30 days. If you’re still not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.
